Booking Process
Reservations are confirmed only upon receipt of the advance payment. Please follow the steps below:
• To initiate a booking, deposit 50% of the total tour cost.
A unique confirmation number will be generated and shared with you once this payment is received.
• Upon sharing your confirmation number, the next 30% of the tour cost becomes due. Kindly make this payment promptly to secure all services.
• Flight and train tickets will be issued immediately upon receipt of the 30% payment.
• Helicopter tickets, where applicable, will be emailed to you on the date specifically communicated to you at the time of booking.
• Hotel confirmation vouchers will be released to you only upon receipt of 100% of the tour cost.
• Driver details will be shared with you by 7:00 PM, one day prior to your arrival date.
• During peak season, operational constraints may require us to reassign your driver. In such cases, a replacement driver will be arranged for the following day without any disruption to your itinerary.
Payment Terms
The payment schedule is structured in three installments as follows:
• 50% of the total tour cost is due at the time of booking confirmation.
• 30% of the total tour cost is due upon receipt of your confirmation number (typically within a few days of the initial deposit).
• The remaining 20% is due no later than 15 days before your check-in date.
Additional payment conditions:
• All payments must be made via bank transfer only. No other modes of payment are accepted.
• If your booking is subject to GST, please share your GSTIN with us before we raise the invoice. Amendments to a generated invoice will not be possible once it has been issued.
• Please do not transfer any amount to our bank account without first receiving our payment details and approval. Unsolicited transfers cannot be tracked or guaranteed.
• True Tourism XP does not extend credit under any circumstances. All installments must be settled before their respective deadlines.
• If the full payment is not received in our account at least 15 days before the arrival date, the booking will be subject to cancellation without further notice. Any applicable refund, after deducting cancellation charges, will be processed via bank transfer within 21 working days.
Cancellation Policy
All cancellation requests must be submitted in writing. A default cancellation fee of INR 2,000 per person applies to all cancellations, reflecting the planning and coordination effort already invested. This fee is in addition to the slab-based charges below.
Refunds, where applicable, may also be adjusted against future bookings at your discretion.
Cancellation charges based on notice period:
• 32 or more days before tour departure: 15% of total tour cost + default fee
• 26 to 31 days before tour departure: 30% of total tour cost + default fee
• 16 to 25 days before tour departure: 50% of total tour cost + default fee
• 8 to 15 days before tour departure: 80% of total tour cost + default fee
• 0 to 7 days before tour departure: 100% of total tour cost + default fee (no refund)
Cancellation of tickets (flight, train, helicopter, or any other transport) is governed by the respective service provider's or applicable government policy, and not by the above schedule.
Refund Policy
• Refunds arising from amendments or cancellations will be processed directly to the original source through which the booking was made (i.e., refunded to the same account or agent).
• Refunds will take a minimum of 21 working days to process from the date the cancellation is confirmed.
• There is strictly no refund for any services that were included in the itinerary but remain unutilized, including but not limited to: meals, entrance fees, optional hotels, sightseeing activities, and surface or air transportation.
• All refunds will be made in Indian Rupees (INR) only, regardless of the original payment currency.
